What BooksCheck receives, how it is handled, and what never happens to it — in plain words. The short version runs in the footer of every page on this site: your financial data is read-only to us, kept in encrypted folders, and never sold or shared.
Who we are
BooksCheck, operated by Ruben “Chitico” Olaverria, Chicago, IL. Mailing address: 2041 Jefferson Dr, Port Arthur, TX 77642. Questions about this page or your data: chiticohq+bookscheck@zohomail.com.
What we receive
When you write to us: your name, your email address, and whatever you put in the message.
When you become a client: read-only access to your QuickBooks — you invite us as a reports-only user — and a read-only Stripe connection. Through them we can see the records the monthly review needs: transactions, profit-and-loss and balance figures, invoices and whether they have been paid, and the customer names on those invoices.
We also keep the one-pagers and working notes we produce from those records, in your client file.
What we never receive
Your QuickBooks or Stripe password. We never ask for it and never log in as you — access is an invite you grant, and you can revoke it.
Your card details. Subscriptions are paid through Stripe; we never see or store your card number.
Your money. BooksCheck never makes payments, moves funds, or touches client money in any way.
How your data is handled
Read-only, least-privilege access: reports-only in QuickBooks, read-only in Stripe. We can look; we cannot change or move anything.
Client financials live in encrypted cloud folders. We keep no unencrypted copies on laptops or drives, and every account that touches client data uses multi-factor sign-in.
Portions of a review draft are prepared with AI assistance; every number is then checked by a human against your source reports before the one-pager is delivered.
And if something ever goes wrong — if data is exposed — we revoke the affected access at once, tell you within 24 hours in plain words, and close the hole before work resumes.
How your data is used
Only to run your review: the monthly one-pager, the flagged items, the drafted payment reminders, and emails about your service. Your data is never sold, and never shared. A confidentiality clause is part of every engagement letter, and an NDA is available on request.
Your control, and cancellation
Access is yours: remove our QuickBooks invite or disconnect the Stripe connection at any time, and our access ends. On cancellation we stop pulling new data.
One record we do keep: the sign-off log for each delivered review — one line per month recording that your numbers were checked — kept as the paper trail for work already done. To ask what we hold about you, write to the email above.
